Setting up my email in Outlook 2016


Make sure that, before setting up your email on your computer, you create a new email account. If you are editing an existing account please make sure to back up before starting.

STEP #1: Add or edit the desired email account:

  • Open your Outlook application. Click the File tab and choose from the below two methods:
  • A: If you are creating an account for the first time click the Add Account button (proceed to step 3).
  • B: If you are modifying an existing account click Account Settings and then choose Change Settings For This Account Or Set Up More Connections(proceed to step #4).

STEP #2: Manual setup for a new email address:

  • Choose the Manual Setup Or Additional Server Types option, once selected click Next.

STEP #3: Select email account type:

  • Select the IMAP option, once selected click Next.

STEP #4: Modifying an existing email:

  • If you have chosen to update an existing account already in your Outlook, click on the account and then click on the Change button (if you are setting up a new account proceed to STEP #5).
  • Please Note: to avoid data loss please backup your emails first. Removing an account will also remove the mail associated with it on the device.

STEP #5: Configure general settings:

  • Your Name: This is the name you want to appear in your emails that you send
  • Email Address: Please enter your full email address
  • Account Type: Select the IMAP option
  • Incoming Mail Server: Please enter the following - imap.gmail.com
  • Outgoing Mail Server: Please enter the following - smtp.gmail.com
  • User Name: This is your full email address
  • Password: This is your full password associated with the email address, tick the remember password option
  • Require Logon using Secure Password Authentication (SPA): This must remain unticked

STEP #6: Configure your Outlook/server advanced settings:

  • Once STEP #5 is completed click on More Settings, this will load a new window.
  • Click the General Settings Tab.
  • In the Delivery section, please make sure Leave A Copy Of Mail On The Server is checked, Tick the Remove Mail From Server check box, select a period no longer than 14 days and no shorter than 4.
  • Click the Advanced Settings Tab, make sure the incoming port number is 993 and Outgoing mail port number is: 465 and Tick the requires secure connection box.
  • Once these are selected click OK, once the pop up window has closed Click Next, and then click Finish, once the setup process has completed please restart your Outlook application.
